CRM for language schools

A CRM built for language schools

Students, courses, class groups and levels in one place — placements book themselves, re-enrolments chase themselves, and the timetable finally lives in a system.

Re-enrolments

Off-the-shelf CRMs were built for a sales team. Not for language schools.

Re-enrolment is a term-end scramble — nobody knows who’s coming back until week one, so half-empty classes run at full cost.

Placement results and level moves live in a spreadsheet three people edit and one person understands. Students get parked in the wrong group, then quietly leave.

Fee chasing is an evening job — and every term a few unpaid invoices simply get written off.

The timetable is a wall chart. When a teacher calls in sick, finding cover means ringing every other teacher in turn.

See it from the inside

What your CRM would look like — screen by screen.

Not stock screenshots — this is the shape of the system we’d build for language schools: your records, your stages, your words. Click through the screens.

The head-of-school’s morning screen — placement tests to mark, term fees landing, and what the automations already handled before coffee.

A real starting point

Here’s the analysis we’d start from — for language schools.

Not a template. This is the data model, pipeline and automations a business like yours actually runs on — mapped in your words. Your free analysis produces exactly this, shaped to you.

Your system, mapped

Your pipeline, exactly as your CRM would show it — your stages, your words. This is what we build from.

Questions language schools ask us

Can it work with our online classroom or e-learning platform?
Yes — we build around what you already use. Each class carries its Zoom or Classroom link, attendance flows back into the student record, and anything with an export or API can feed the one screen your office works from.
We teach kids as well as adults — can it handle parents and guardians?
Yes. A student can have a guardian attached: invoices, progress reports and absence messages go to the parent, certificates go to the student, and consent is recorded once, properly.
How long until we’re live?
A working prototype in about a week for €500. The full build usually lands in three to six weeks, depending on how many languages, sites and integrations are in scope.
Who owns the system and the data?
You do — entirely. It’s your system, hosted for you, and you can export everything at any time. No per-seat lock-in.
